How we handle personal information when you visit our website, contact us, book a call or choose to receive text messages.
1. Who we are and scope
Aquila Labs is a subsidiary of LUXVITA AI Labs LLP, a registered business based in India. In this policy, “Aquila Labs,” “we,” “us” and “our” refer to the Aquila Labs business operated by LUXVITA AI Labs LLP.
This Privacy Policy explains how we collect, use, disclose and retain personal information through aquilalabs.ai, our website forms, discovery-call bookings and related communications. Personal information means information that identifies, or can reasonably be linked to, an individual.
When we handle a client's business data under a separate services agreement, that agreement and any applicable data-processing terms govern that work. This policy does not replace those terms or the privacy notices of independent third-party services.
2. Information we collect
- Contact information: your name, email address and optional phone number.
- Business and inquiry information: company, role, professional profile, business needs, questions, messages and process information you choose to share.
- Booking information: selected appointment, time zone, booking-question answers, and rescheduling or cancellation details.
- Communication preferences: your SMS opt-in selection, consent records and requests to stop or change communications.
- Technical information: IP address, browser and device information, page requests, timestamps and error or security information processed by our website infrastructure and embedded services.
What we request depends on the feature you use. The email fallback form requires an email address. Bookings require the information marked as required on the booking form. The phone number and SMS consent fields are optional.
Please do not send passwords, payment-card details, government identification, health information or confidential client records through general inquiry or booking forms. We can agree on an appropriate method if such information is needed for an engagement.
3. How we use information
We use personal information to:
- Respond to inquiries and discuss services you have requested.
- Schedule, confirm, manage and follow up on appointments.
- Send information requested through our email form.
- Evaluate a potential engagement and provide agreed services.
- Maintain communication preferences, consent and opt-out records.
- Operate and protect the website, investigate errors or misuse, and meet applicable legal and recordkeeping obligations.
Providing contact details does not by itself authorize promotional texts. Website use, acceptance of terms and email requests are separate from SMS consent.
4. Service providers and disclosures
The website currently integrates the following services:
- Vercel: website hosting and delivery.
- Cal.com: scheduling, booking questions and booking records.
- Google Sheets: records submitted through our website email or lead-capture form.
- Resend: delivery of requested confirmation emails.
- Vimeo: embedded testimonial videos.
Providers receive or process information needed for their features. We may also use communications providers to deliver texts to people who opt in. Independent providers may process technical and usage information under their own privacy notices.
Where legally required, we may disclose information to comply with a lawful request or protect legal rights. We may also disclose information at your direction. The SMS restrictions below apply to the sharing categories described here; a general disclosure provision does not authorize sharing SMS consent for marketing.
5. Phone numbers and SMS consent
If you provide your phone number and actively select the SMS consent checkbox, Aquila Labs may send transactional texts about appointment confirmations, reminders, appointment follow-ups and responses to inquiries about services you have requested. Message frequency may vary. Message and data rates may apply.
You can book a call and purchase services without providing a phone number or opting in to texts. Entering a number alone is not consent. This opt-in does not cover marketing or promotional messages.
Mobile information will not be shared with third parties or affiliates for marketing or promotional purposes. All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties, excluding aggregators and providers of the text message services.

7. How long we keep information
We retain information for as long as reasonably needed for its purpose, including responding to inquiries, maintaining an ongoing business relationship, providing services, resolving disputes and satisfying applicable legal obligations.
Retention depends on the record, relationship and legal or contractual requirements. Consent and suppression records may need to be kept after other contact information is no longer needed, to document permissions and prevent unwanted messages. You can request deletion using the contact details below, subject to applicable exceptions.
8. Security and international processing
We seek to protect personal information using safeguards appropriate to the information and services involved. No website, communication method or storage system can guarantee absolute security.
Our business is based in India. Our providers may process or store information in India, the United States or other countries with different data-protection laws from those where you live. Where applicable law requires specific protections for international processing, those requirements apply; submitting a form does not waive them.
9. Your choices and privacy requests
You may decline to provide optional information, leave SMS consent unchecked, withdraw SMS consent, or ask us to stop nonessential follow-up communications.
Depending on applicable law, you may have rights to request access, correction, deletion, a copy of information, or withdrawal of consent. Some laws also provide rights to object to or restrict processing, nominate another person to exercise rights, or complain to a relevant authority.
To make a request or raise a privacy grievance, email siddhant@aquilalabs.ai with enough information to identify your interaction and understand the request. We may need to verify your identity or authority. We will handle requests within applicable legal time limits and explain any limitation. Please do not email sensitive identity documents unless we have agreed on a suitable verification method.
Withdrawal does not affect processing that was lawful before withdrawal. It may affect a feature requiring that information, but does not prevent you from booking a call without SMS.
10. Children’s information
Our website and consulting services are intended for adults acting in a professional or business capacity, not children under 18. We do not knowingly collect personal information from children through this website. If you believe a child has provided information, contact us so we can review and address it.
11. Changes to this policy
We may update this policy to reflect changes in our services, practices or legal obligations. The latest version will appear here with an updated date. Where required, we will provide additional notice or obtain consent before a material change in how information is used.
